AI phone assistant for nail salons
Nail bookings are short, frequent and easy to lose. Tel-Agent takes the treatment, the technician and the infill that needs booking in three weeks.
- Which treatment
- Infill or new set
- Which technician
Why a nail salon's diary breaks on missed detail
Nail appointments are short and frequent, which makes the diary tight and unforgiving. A booking taken without knowing whether it is an infill or a new set, or whether a removal is needed, is an appointment that runs over and pushes the rest of the day into the evening.
How the AI receptionist handles a nail salon booking
It answers while both technicians are working.
It asks which treatment, because gel, acrylic and a manicure are different appointments.
It asks whether this is an infill or a new set - roughly half the time either way.
It asks whether a removal is needed, which is the detail most often missed.
It takes which technician, and whether they would take a short-notice slot.
What the agent is told to ask
Written by you, in your own words, as the assistant’s instructions.
What a nail salon phone assistant should and should not do
What it does
- Answers while every station is busy
- Distinguishes an infill from a new set
- Asks about removals before the appointment is set
- Records the requested technician
- Keeps client details on the salon's own machine
What it never does
- Quote a price outside the salon's own list
- Advise on a reaction, an infection or a lifting nail
- Promise a technician who is not free
- Book a treatment the salon does not list
- Send client data to a booking vendor
Questions
Why does it ask about removals?
Because it is the detail that most often gets missed and the one that breaks the day. A removal adds real time to a short appointment, and a diary built without it runs late from mid-morning.
Infill or new set - does that matter on the phone?
It is roughly half the time and half the price, so booking one as the other is either a wasted half hour or an overrun. It is asked on every booking.
Can it handle rebooking regulars?
It takes the booking and the technician. Prompting the next appointment while the client is on the phone is the cheapest rebooking a salon ever gets.
What about a client asking about a reaction?
That is a transfer, always. A lifting nail, an infection or a reaction is not a booking question, and an assistant answering it is the failure this rule prevents.
Does it work for a mobile technician?
The same fields plus the address. A mobile technician is exactly the case where nobody can answer a phone - both hands are busy in somebody else's kitchen.
Does the EU AI Act allow an AI to answer a walk-in enquiry?
Yes, under Article 50 of Regulation 2024/1689, which asks that the caller be told they are speaking to a machine - that line belongs in the greeting you configure. Nothing about this work falls under Annex III, the list of high-risk uses. The distinction the Act draws is between assisting and deciding, and this agent assists: it never advises on a treatment or judges whether skin is suitable for one. Austria's KI-Servicestelle at RTR publishes the same reading of the transparency duty.
Who is the data controller for what a caller to a nail salon says on the phone?
You are. A walk-in enquiry is ordinary personal data, though a patch-test note edges toward health data, and Tel-Agent is self-hosted with your own model keys, so the recording, the transcript and the record it writes stay on your server and never reach Dpro GmbH. There is no processor agreement to sign with us because we never receive the data, and the source is AGPL-3.0, so you can check that rather than take our word for it.
Can a nail salon run this in the United States?
There is no single federal AI statute to comply with, but a phone line carries older rules. The TCPA governs automated outbound calls, and consent to record is set state by state. Consent to record is set state by state, and California and Illinois among others want every party to agree. Running the software yourself makes you the caller of record, so the disclosure and the recording switch are yours to set.
Not usable yet. The day it answers a real call will be a release, not a newsletter.
