AI phone assistant for hair salons
Bookings and cancellations arrive while both hands are busy. Tel-Agent takes the service, the stylist and the cancellation that can still be filled.
- Which service
- Which stylist
- Late cancellations
Why a hair salon misses its most expensive calls
A salon's calls land mid-appointment, and the expensive ones are the cancellations. A slot given up at nine in the morning can still be filled; the same slot discovered when the chair sits empty at two cannot - and those are exactly the calls a busy salon does not get to.
How the AI receptionist handles a salon booking call
It answers without anybody putting down what they are holding.
It asks which service, because chair time varies from thirty minutes to three hours.
It asks which stylist, if the client has one.
For a new colour client it flags that a patch test is needed before the appointment.
A cancellation is taken and flagged the same morning, while the slot can still be refilled.
What the agent is told to ask
Written by you, in your own words, as the assistant’s instructions.
What a hair salon phone assistant should and should not do
What it does
- Answers mid-appointment without interrupting the chair
- Takes the service, the stylist and the timing
- Catches cancellations while they are still fillable
- Flags first-time colour clients for a patch test
- Keeps client details on the salon's own machine
What it never does
- Quote a price that is not on the salon's own list
- Promise a stylist who is not free
- Advise on colour, chemicals or aftercare
- Skip the patch test question for a new colour client
- Store client data on a booking vendor's servers
Questions
What is the most valuable call it catches?
The cancellation. A slot given up early in the day is refillable from the short-notice list; the same slot found empty is simply lost, and those calls are the first a busy salon misses.
Why does it ask which stylist?
Because it matters more than it looks. A client who books with one person and is given another usually does not come back, so the request is recorded as a requirement rather than a preference.
Does it know about patch tests?
It flags a first-time colour client so the salon can arrange one. It does not decide whether a test is needed - that is the colourist's call and it has legal weight.
Can it quote a price?
Only from the salon's own list, and only for a named service. Colour prices in particular depend on length and condition, which nobody can judge over a phone.
Does it work for a salon with several locations?
Which salon is asked and calls route to that salon's list. A stylist free at one branch is not an answer for another.
Does the EU AI Act allow an AI to answer a colour appointment?
Yes, under Article 50 of Regulation 2024/1689, which asks that the caller be told they are speaking to a machine - that line belongs in the greeting you configure. Nothing about this work falls under Annex III, the list of high-risk uses. The distinction the Act draws is between assisting and deciding, and this agent assists: it never advises on a treatment or judges whether skin is suitable for one. Austria's KI-Servicestelle at RTR publishes the same reading of the transparency duty.
Who is the data controller for what a caller to a hair salon says on the phone?
You are. A colour appointment is ordinary personal data, though a patch-test note edges toward health data, and Tel-Agent is self-hosted with your own model keys, so the recording, the transcript and the record it writes stay on your server and never reach Dpro GmbH. There is no processor agreement to sign with us because we never receive the data, and the source is AGPL-3.0, so you can check that rather than take our word for it.
Can a hair salon run this in the United States?
There is no single federal AI statute to comply with, but a phone line carries older rules. The TCPA governs automated outbound calls, and consent to record is set state by state. Consent to record is set state by state, and California and Illinois among others want every party to agree. Running the software yourself makes you the caller of record, so the disclosure and the recording switch are yours to set.
Not usable yet. The day it answers a real call will be a release, not a newsletter.
