Why a school office takes a day of calls in twenty minutes

A school office takes most of its daily call volume between half past seven and eight. Nearly all of it is one message - a child is not coming in - and every one of those calls occupies a person who is also dealing with the corridor, the gate and the first bell.

How the AI receptionist handles a school absence call

What a school phone assistant should and should not handle

Questions

Can it take the morning absence calls?

That is most of what it is for. A school office takes the bulk of its daily volume in about twenty minutes, and nearly all of it is one message. The assistant takes the name, the class and the reason, and the office gets a list instead of twenty interruptions.

What about a caller who is not a parent?

That is exactly the call that should never be handled by an assistant. Anyone asking about a child rather than reporting on their own is a transfer, set as a rule rather than left to the model.

Does it replace the school secretary?

It answers the calls that arrive while the secretary is dealing with the corridor. The calls a person would have taken are still taken by that person, because the routing rules run before anything else.

Does it work for a nursery as well as a school?

The same shape with a different register: which child, which room, and who is collecting. Nurseries also get more calls about collection changes, which is exactly the kind that needs a person to confirm.

Can it record a reason for absence?

It takes what the parent says and the expected return date. It does not authorise the absence - that is a decision the office makes when it reads the list.

What about a safeguarding call?

That is a transfer, always. Anything about a child that is not a routine absence reported by their own parent goes to a person rather than into a list.

Does the EU AI Act allow an AI to answer an absence call?

Yes, under Article 50 of Regulation 2024/1689, which asks that the caller be told they are speaking to a machine - that line belongs in the greeting you configure. Annex III covers access to education, so an AI that influenced an admission would be high-risk. The distinction the Act draws is between assisting and deciding, and this agent assists: it never decides an admission or evaluates a pupil. Austria's KI-Servicestelle at RTR publishes the same reading of the transparency duty.

Who is the data controller for what a caller to a school says on the phone?

You are. An absence call is data about children, which deserves the strictest handling on this site, and Tel-Agent is self-hosted with your own model keys, so the recording, the transcript and the record it writes stay on your server and never reach Dpro GmbH. There is no processor agreement to sign with us because we never receive the data, and the source is AGPL-3.0, so you can check that rather than take our word for it.

Can a school run this in the United States?

There is no single federal AI statute to comply with, but a phone line carries older rules. FERPA governs US student records, and there is no third party here to disclose them to. Consent to record is set state by state, and California and Illinois among others want every party to agree. Running the software yourself makes you the caller of record, so the disclosure and the recording switch are yours to set.
