Why property management calls are nothing like lettings calls
A managed portfolio's phone is maintenance, not viewings. The calls come from tenants, they are about things that are broken, and a few of them are leaks or a loss of heating in January - which means the queue has to be sorted by urgency before anybody reads it, not after.
How the AI receptionist handles a maintenance call

Questions
How does it sort urgent from routine?
It asks whether water, gas or power is involved, and the agency sets which answers mean transfer. A leak at eleven at night and a dripping tap are the same category in most inboxes and should not be.
Can it authorise a repair?
No. Spending limits and landlord authority sit with the manager, and an assistant committing to a cost creates a liability nobody agreed to.
Why record the unit rather than the block?
Because a contractor sent to the right building and the wrong flat is a wasted visit that gets charged for. It is one extra question that pays for itself immediately.
Does it take access arrangements?
With every report. The most common reason a repair takes two visits is that nobody could get in on the first one.
Does a landlord chasing a statement sit in the tenant queue?
They are routed separately from tenant reports. A landlord asking about a statement and a tenant reporting a leak have nothing in common except the address.
Does the EU AI Act allow an AI to answer a maintenance call?
Yes, under Article 50 of Regulation 2024/1689, which asks that the caller be told they are speaking to a machine - that line belongs in the greeting you configure. Nothing about this work falls under Annex III, the list of high-risk uses. The distinction the Act draws is between assisting and deciding, and this agent assists: it never screens, ranks or turns away an applicant. Austria's KI-Servicestelle at RTR publishes the same reading of the transparency duty.
Who is the data controller for what a caller to a managing agent says on the phone?
You are. A maintenance call is ordinary personal data, though a tenancy enquiry carries more than the caller expects, and Tel-Agent is self-hosted with your own model keys, so the recording, the transcript and the record it writes stay on your server and never reach Dpro GmbH. There is no processor agreement to sign with us because we never receive the data, and the source is AGPL-3.0, so you can check that rather than take our word for it.
Can a managing agent run this in the United States?
There is no single federal AI statute to comply with, but a phone line carries older rules. Fair housing rules make automated screening a real risk, which is why the agent does none of it. Consent to record is set state by state, and California and Illinois among others want every party to agree. Running the software yourself makes you the caller of record, so the disclosure and the recording switch are yours to set.
