Why a pharmacy phone competes with the queue

A pharmacy's phone competes directly with people who are physically present. Answering it means turning away from somebody mid-sentence; not answering means the caller drives over to find out the item is not in. An AI phone assistant for a pharmacy is worth having because the two most common calls are lookups that nobody needs a pharmacist to hear.

Can an AI phone assistant give advice about medicine?

No, and a pharmacy is the clearest case for that rule. Not a dose, not an interaction, not a substitute. Anything that starts to sound like a clinical question is set to hand over to a pharmacist rather than be answered.

What can it actually handle?

The two questions that are most of the volume: is my prescription ready, and do you have this in stock. Both are lookups. The assistant takes the prescription number, the name and the branch, and the answer goes back as a callback or a message.

Does it work for a pharmacy with several branches?

Which branch is one of the questions it asks, because a stock answer for one shop is wrong for another. Routing rules can also send each branch's calls to that branch's own list.

Where do the recordings go?

Onto the machine you installed it on, and nowhere else. A caller giving a prescription number has said something about their health, and self-hosting is what keeps that off a vendor's servers.

Does the EU AI Act allow an AI to answer a prescription call?

Yes, under Article 50 of Regulation 2024/1689, which asks that the caller be told they are speaking to a machine - that line belongs in the greeting you configure. Annex III covers emergency healthcare triage, which is why the agent stays away from anything clinical. The distinction the Act draws is between assisting and deciding, and this agent assists: it never advises on a medicine or judges whether a symptom needs a pharmacist. Austria's KI-Servicestelle at RTR publishes the same reading of the transparency duty.

Who is the data controller for what a caller to a pharmacy says on the phone?

You are. A prescription call is health data, which Article 9 treats as a special category, and Tel-Agent is self-hosted with your own model keys, so the recording, the transcript and the record it writes stay on your server and never reach Dpro GmbH. There is no processor agreement to sign with us because we never receive the data, and the source is AGPL-3.0, so you can check that rather than take our word for it.

Can a pharmacy run this in the United States?

There is no single federal AI statute to comply with, but a phone line carries older rules. HIPAA applies to a US pharmacy, and self-hosting means there is no vendor to sign a business associate agreement with. Consent to record is set state by state, and California and Illinois among others want every party to agree. Running the software yourself makes you the caller of record, so the disclosure and the recording switch are yours to set.
