AI phone assistant for hotels

Why a hotel reception phone goes unanswered

A hotel reception is one desk doing several jobs at once. The phone competes with a guest standing in front of it, and the calls that come in are rarely urgent enough to interrupt that - until one of them is somebody arriving at midnight who nobody knows about.

How the AI receptionist handles a hotel call

  1. It answers while the desk stays with the guest in front of it.

  2. It asks whether this is a new booking or a change to an existing one.

  3. For a booking it takes the dates, the nights, the guests and the rooms.

  4. It asks about arrival time, and a late arrival is flagged to the desk for tonight.

  5. Access or mobility needs are flagged too, because they decide which room, not just what is written on it.

Questions

Can it check availability?

It takes the dates and the requirement and the answer goes back as a confirmation or a callback. Reading live availability needs the property system wired in through the HTTP tool, which is possible and is not built yet.

What about a guest calling to complain?

That reaches a person. A complaint answered by an assistant is a complaint made worse, and it is set to transfer rather than to be recorded.

Does it help with late arrivals?

That is one of the clearest cases. A guest arriving at midnight who nobody told the night porter about is a bad arrival for everybody, and the call that would have prevented it is usually one nobody could take.

Can it take payment?

No. Card details are never taken by the assistant, in any sector. That is a hard line rather than a configuration.

Does it work for a small hotel without a night desk?

That is where it earns most. Out of hours the alternative is a phone ringing in an empty lobby.

Does the EU AI Act allow an AI to answer a room enquiry?

Yes, under Article 50 of Regulation 2024/1689, which asks that the caller be told they are speaking to a machine - that line belongs in the greeting you configure. Nothing about this work falls under Annex III, the list of high-risk uses. The distinction the Act draws is between assisting and deciding, and this agent assists: it never decides who gets a table or a room. Austria's KI-Servicestelle at RTR publishes the same reading of the transparency duty.

Who is the data controller for what a caller to a hotel says on the phone?

You are. A room enquiry is ordinary personal data, plus whatever a guest volunteers about an allergy, and Tel-Agent is self-hosted with your own model keys, so the recording, the transcript and the record it writes stay on your server and never reach Dpro GmbH. There is no processor agreement to sign with us because we never receive the data, and the source is AGPL-3.0, so you can check that rather than take our word for it.

Can a hotel run this in the United States?

There is no single federal AI statute to comply with, but a phone line carries older rules. The TCPA governs automated outbound calls, and consent to record is set state by state. Consent to record is set state by state, and California and Illinois among others want every party to agree. Running the software yourself makes you the caller of record, so the disclosure and the recording switch are yours to set.
