AI phone assistant for funeral directors

Answered in seconds at any hour, then handed straight to a person. Tel-Agent takes the name and the place - it does not conduct the call.

  • Answered at any hour
  • Where the person is
  • Transfer, not handle

Why a funeral director's phone must be answered in seconds

A funeral director's phone has to be answered at three in the morning, and the call is somebody whose relative has just died. Two things are true at once: it cannot ring out, and it must not be handled by software. The realistic alternative most firms offer out of hours is a recorded message, at the worst moment in somebody's year.

How the phone assistant handles a bereavement call

  1. It answers immediately, in one calm sentence.

  2. It reaches a person - that is the whole purpose, and it is tried first.

  3. If nobody is reachable, it takes a name and a number.

  4. It asks where the person is, and whether a doctor has been involved.

  5. Then it stops, and the director is alerted on every channel available.

What the agent is told to ask

Written by you, in your own words, as the assistant’s instructions.

Name of the callerAsked once, gently, and not repeated.
Where the person isHome, hospital or a care home - it decides tonight.
Callback numberTaken early, because these calls get cut short.
Is a doctor involved yetThe only other thing that changes what happens next.
Nothing elseThe rest of this conversation belongs to a person.

What a funeral phone assistant must never do

What it does

  • Answers at any hour, within seconds
  • Tries to reach a person before anything else
  • Takes only a name, a place and a number
  • Alerts the director immediately, on every channel
  • Keeps everything on the firm's own machine

What it never does

  • Conduct the conversation
  • Ask about arrangements, coffins, dates or costs
  • Offer options or read out a price list
  • Fill a silence with generated reassurance
  • Keep the caller talking to it rather than to a person

Questions

Should software answer a bereavement call at all?

Only to reach a person faster. Two things are true at once: the phone cannot ring out at three in the morning, and the conversation must not be handled by software. So it answers in one calm sentence and transfers.

What does it do if nobody is reachable?

It takes only what the director needs to act on tonight - a name, where the person is, and a number to call back - and then it stops. It does not ask about arrangements, offer options, or fill silence.

Is this better than an answering machine?

That is the honest comparison, not a person. What most firms actually offer out of hours is a recorded message or a phone that rings out, at the worst moment in somebody's year.

Does it work at three in the morning?

That is the hour it exists for. The alternative most firms offer out of hours is a recorded message or a phone that rings out, and neither is an answer to that call.

What does the caller actually hear?

One calm sentence, and then a person if one can be reached. If nobody answers, it takes a name, a place and a number and stops - it does not conduct the conversation.

Can it take arrangement details?

No, deliberately. Coffins, dates, costs and options are a conversation with a director, and an assistant working through them at three in the morning is the failure this page exists to prevent.

Does the EU AI Act allow an AI to answer a first call?

Yes, under Article 50 of Regulation 2024/1689, which asks that the caller be told they are speaking to a machine - that line belongs in the greeting you configure. Nothing about this work falls under Annex III, the list of high-risk uses. The distinction the Act draws is between assisting and deciding, and this agent assists: it never handles anything that should be said by a person. Austria's KI-Servicestelle at RTR publishes the same reading of the transparency duty.

Who is the data controller for what a caller to a funeral director says on the phone?

You are. A first call is data about the deceased and about a caller in the worst week of their life, and Tel-Agent is self-hosted with your own model keys, so the recording, the transcript and the record it writes stay on your server and never reach Dpro GmbH. There is no processor agreement to sign with us because we never receive the data, and the source is AGPL-3.0, so you can check that rather than take our word for it.

Can a funeral director run this in the United States?

There is no single federal AI statute to comply with, but a phone line carries older rules. The TCPA governs automated outbound calls, and consent to record is set state by state. Consent to record is set state by state, and California and Illinois among others want every party to agree. Running the software yourself makes you the caller of record, so the disclosure and the recording switch are yours to set.

Not usable yet. The day it answers a real call will be a release, not a newsletter.
